For gyms, studios & trainers

People decide to join at 9pm. Somebody should answer.

Nobody signs up for a gym at eleven on a Tuesday morning. They decide on the couch, at night, comparing three places at once — and they join wherever replies first. LexisGrid answers the DM, the web chat and the call in seconds, checks your class timetable, and books the trial before they change their mind.

The problem

The enquiry comes when the desk is empty.

Either you're on the floor taking a class, or it's 9pm and the place is shut. Both are exactly when people decide to do something about their fitness.

The decision happens at night

"Is there a beginners class?" arrives at 9:40pm, from someone who has been thinking about it for a month. By morning the feeling has passed, or they've joined elsewhere.

You're teaching, not on the desk

During a class nobody is answering anything. In a small studio there is no second person, and the enquiry sits unread for two hours.

Nervous people don't chase

Plenty of first-timers are anxious about walking in at all. One unanswered message is all the excuse they need to not come back.

In your words

It knows your timetable, not just your opening hours.

LexisGrid answers from what you actually run — class times, what suits a beginner, how many spots are left, what a trial includes and what membership really costs. It won't put someone into a full class or quote a price you don't charge.

Real spots, not guesses. It reads the live timetable before offering a class, so it can't book someone into a session that's already full.

Injuries and medical questions go to a human. It will not advise on a sore back, a pregnancy or a rehab programme. It takes the detail and puts it in front of a trainer, because that is not a question software should answer.

Answers the nervous questions kindly. What do I wear, will I be the only new person, do I need to be fit already. The ones that decide whether someone turns up at all.

Instagram and Messenger included. Where fitness enquiries actually start, answered in the same breath and landing in the same inbox.

is there a beginners class? i havent trained in years
There is — Foundations runs Monday and Thursday at 6:30 pm, and it's built for exactly that. Small group, everything scaled. Your first one is free.
do i need to be fit already
Not at all, that's rather the point. Most people in it are coming back after a long break. Want me to put you in Thursday?
yes ok. i do have a dodgy knee though
Noted — I'll flag that for one of our coaches rather than advise on it myself, and they'll have a quick chat with you before you start. Thursday 6:30 pm is booked. What's your name and number?
✓ Trial booked into Thursday's class · lead saved · knee flagged to a coach, not answered
What it handles for you

What it handles on a normal week.

Answers the January rush

The one month a year when enquiries triple and every one of them is comparing you against two other gyms. All answered in seconds, none left until Monday.

Books trials while they're keen

The gap between deciding and booking is where most people fall out. It closes that gap to about four seconds.

Fills the spots people drop

Someone cancels out of Thursday's class. The next enquiry gets offered the spot rather than being told it's full.

Captures the ones not ready yet

Plenty ask about price and go quiet. Their name, number and what they wanted lands in your CRM so you can follow up properly.

✓ Live in days — we set it up ✓ Keeps your existing timetable & CRM ✓ No lock-in, cancel any time
Questions from gym and studio owners

What fitness owners ask us.

What happens if someone asks about an injury or a health condition?
It stops and hands over. LexisGrid will not advise on a sore knee, a back problem, a pregnancy or a rehab programme — it takes the detail, tells the person a coach will speak to them, and flags it to you. That advice has to come from someone qualified who can see them, and we would rather it be unhelpful on that question than confidently wrong.
Can it book people into classes that have limited spots?
Yes. It reads your live timetable during the conversation and only offers sessions with genuine capacity, so it cannot put a fifteenth person into a class of twelve. If a class is full it offers the next one instead rather than saying no.
Can it sign someone up to a membership?
It books trials and classes, and captures the membership enquiry with everything you need to close it. The signup itself — contract, direct debit, terms — stays in whatever system you already use. Money and contracts should not be handled by a receptionist you have only just met.
Will it cope with the January rush?
Yes, and that is the month it earns its keep. Every conversation is answered in parallel, so thirty people enquiring on 2 January all get an immediate reply. There is no queue, and nobody is waiting on a call-back while they scroll past your competitor.
We're a small studio, not a 24-hour gym. Does it still fit?
Usually better. The smaller the team, the more often nobody can answer — a solo trainer teaching back-to-back sessions misses almost every enquiry that arrives during the day. If you are getting only a handful of enquiries a month, though, tell us and we will say so rather than sell you something.
