For clinics, allied health & studios

The booking rush, handled. Without the hold music.

Your front desk closes at 5:30. Your patients start booking at 8pm. LexisGrid answers every enquiry around the clock from your real practice information, books into your live calendar, and passes anything clinical straight to your team instead of guessing at it.

The problem

Front-desk demand doesn't match front-desk hours.

The phone runs hot at exactly the times your reception is least able to answer — the morning rush, the lunch gap, and every evening after your doors close.

The 8pm booking window

People sort out appointments when they finally sit down, which is well after your reception has gone home. Voicemail loses most of them.

Reception can't be on three calls at once

During the morning rush, callers hold, give up and try the practice down the road. You never find out it happened.

Some questions must not be answered by software

Anything clinical, anything about symptoms, anything sensitive — it needs a human, and it needs one fast.

In your words

Helpful on logistics. Silent on anything clinical.

This is the line that matters most in health. LexisGrid handles appointments, hours, locations, fees, referral requirements and what to bring — and it is configured to refuse anything that amounts to clinical advice, escalating to your team instead.

A hard line on clinical advice. It never diagnoses, never interprets symptoms and never suggests treatment. Those conversations are escalated with a note.

Accurate practice logistics. Fees, referral requirements, what to bring, parking, which practitioner does what — all from information you control.

Fills cancellations quickly. A late cancellation opens a slot, and the next enquiry gets offered it automatically.

Every conversation on the record. Full transcripts sit against the patient record in your system, so your team always has the context.

do you have any physio appointments this week? and do i need a referral
We do have availability this week. You don't need a referral for a private physio appointment — only if you're coming through an EPC or workers comp plan. Would Wednesday 4:00 pm or Friday 11:30 am suit?
friday 11:30. also my shoulder's been clicking, is that serious?
I can't advise on symptoms, but that's exactly the kind of thing to raise at your appointment — I've made a note for the practitioner. Friday 11:30 am is booked in. Can I grab your name and best number?

What it handles for you

What it takes off your front desk.

The repetitive questions

Opening hours, fees, whether you bulk bill, where to park, do I need a referral. Answered instantly, correctly, every time.

Overflow during the rush

When reception is on another call, nobody waits on hold. The enquiry gets answered in parallel.

After-hours and weekend bookings

The appointments that would otherwise be a voicemail on Monday morning, booked while your competitors are closed.

Reminders and reduced no-shows

Confirmations and reminders go out automatically with every booking it makes.

✓ Live in days — we set it up ✓ Keeps your existing calendar & CRM ✓ No lock-in, cancel any time
Questions from practice managers

What practice managers ask us.

Will it give medical or clinical advice?
No, and this is configured as a hard guardrail. LexisGrid handles appointments, fees, referral requirements, hours and logistics. Any question that touches symptoms, diagnosis or treatment is acknowledged warmly, noted for the practitioner, and escalated to your team rather than answered.
How do you handle patient privacy?
Every practice runs in a completely separate account, and conversation records sit in your own system against the patient record. We handle personal information under the Australian Privacy Principles. Full detail is in our privacy policy.
Can it handle multiple practitioners with different availability?
Yes. It reads the live calendar for each practitioner and only offers times that are genuinely free for the right person and the right appointment type and length.
What about emergencies or distressed callers?
You define the escalation rules. Anything matching them is flagged immediately and, where you have configured it, the caller is directed to the appropriate emergency service. LexisGrid should never be your only channel for emergency contact.
Can it tell patients whether we bulk bill?
Yes, if you have put that in your practice profile. It answers only from the information you give it, so billing arrangements, fees and rebate details are always exactly what you have specified.
