Privacy Policy

LexisGrid ("we", "us", "our") provides an AI receptionist service that answers customer enquiries, books appointments and captures leads on behalf of the businesses that subscribe to our service ("Business Customers"). This policy explains what personal information we collect, how we use it, and the choices available to you. It applies to our website (lexisgrid.com), our service, and the conversations our AI handles on behalf of Business Customers.

1. Information we collect

From website visitors: when you request a demo or contact us, we collect the details you provide — your name, business name, phone number, email address and message.

From end customers of our Business Customers: when you message or call a business that uses LexisGrid, we process the contents of that conversation on the business's behalf. This may include your name, contact details, and the details of your enquiry or booking (for phone calls, this includes a recording and/or transcript of the call). This information is collected for, and belongs to, the business you contacted.

Technical information: standard server logs (IP address, browser type, pages visited) used for security and to keep the service running reliably.

2. How we use information

  • To operate the service: answering enquiries, booking appointments, capturing leads, and reporting activity to the relevant Business Customer.
  • To generate AI responses: conversation content is processed by our AI infrastructure providers for the sole purpose of producing a reply. We do not permit our providers to use this content to train their models.
  • To respond to demo requests and support enquiries.
  • To secure, maintain and improve the service.

We do not sell personal information. We do not use conversation content for advertising.

3. Who information is shared with

  • The business you contacted: conversations, contact details and bookings are delivered to the Business Customer whose receptionist you spoke with — exactly as if you had spoken to their staff.
  • Service providers: we use trusted third-party providers for AI processing, telephony, messaging, hosting and CRM infrastructure, strictly to deliver the service under contractual confidentiality obligations.
  • Legal requirements: where required by law or to protect our rights, safety or property.

4. Data isolation between businesses

Each Business Customer's data — conversations, customer records, prices and settings — is kept fully separate. No Business Customer can access another's data, and our AI only answers using the information the relevant business has provided.

5. Data retention

Conversation records and lead information are retained while the relevant Business Customer maintains an active account, and deleted or returned upon account closure in accordance with our agreement with that business. Website enquiry details are retained only as long as needed to respond and follow up.

6. Security

We use industry-standard measures to protect information, including encrypted connections (HTTPS), access controls, per-business data isolation and regular backups. No method of transmission or storage is completely secure, but we work to protect your information accordingly.

7. Your rights

Subject to applicable law (including the Australian Privacy Act 1988 and the Australian Privacy Principles), you may request access to, correction of, or deletion of your personal information. If your information was collected through a conversation with a business using LexisGrid, we may direct your request to that business, as they control that data. 8. Call recording and messaging

Where the phone channel is enabled, calls handled by the AI receptionist may be recorded and transcribed to deliver the service (summaries, follow-ups and quality). Businesses using LexisGrid are responsible for providing any notice of recording required in their jurisdiction. SMS and messaging conversations are processed and stored to provide the same continuity.

9. Cookies

Our website uses only the cookies necessary for it to function. We do not use advertising or cross-site tracking cookies.

10. Changes to this policy

We may update this policy from time to time. The "last updated" date above reflects the latest revision, and material changes will be noted on this page.
